Art Exhibit Procedures

 

About displaying artwork...

  • Hanging of art exhibits is the responsibility of the artist.

  • Artists must use the hanging equipment provided by the library. No other means of attachment to library walls is permitted. Artists are responsible for furnishing their own free standing displays and easels.

  • The library is not responsible for damage to artworks while in transit or during the set-up or take down of the exhibit.

  • Display periods are from the first of the month until two days prior to the end of the month.

  • Displays should be put up by library closing time one day prior to the beginning of the display month.

  • Displays must be taken down and removed from the premises by library closing time, two days prior to the end of the month.

  • Paintings are on display in the library meeting room, display cases, and other open display areas expressly for public viewing and enjoyment. Although we strive to obtain a wide variety of subject matters, formats, and techniques, and strive to provide adequate security, the library does not assume any responsibility or liability for the workmanship or the content of the exhibits.

    Artists are responsible for providing their own insurance on all materials displayed at the library.

  • Artworks may not be bought or sold on library premises, nor is the library in any way involved or liable in negotiations or finalization of the purchase or sale of artworks. Patrons wishing information on the purchase of artworks must contact the artist directly.

  • Providing information is received prior to layout, printing, and publicity deadlines, information about the exhibit will be carried in the library newsletter, an additional press release will be sent by the library to all local media on our general press contact list, and one poster for display in the library lobby will be prepared by library staff. One photograph of the artist and one photograph of a representative piece of the artist's work should be submitted with the understanding that it may be released and distributed for publicity purposes. All photographs submitted become the property of the Indian Trails Public Library District and will not be returned. Artists are responsible for the preparation and distribution of all other publicity for their exhibits. One copy of each piece for distribution in the library must be sent to the library's art exhibits coordinator two months prior to the opening of the exhibit. All publicity created by the library is the property of the Indian Trails Public Library District and will remain on file at the Indian Trails Public Library District.

  • Artists will supply the library with an inventory and condition report of the materials being loaned for exhibit. The artist is responsible for signing a return inventory which the library will keep upon take down of the exhibit. The artist will also supply the library with a listing of each piece and its value that it will be available to those patrons who specifically ask for it.

  • The artists understand that the materials will be available for public viewing at all times that the exhibit room is not being used for meetings and programs.

  • The artist is responsible for making appointments for the set-up and take down of the exhibit at a time mutually agreed upon with the exhibits coordinator.

  • Artists may book an opening reception or lecture related to their exhibit. Booking and arrangements should be made through the library's Program Coordinator.

A signed copy of the agreement form may be obtained from the Art Exhibits Coordinator and it must be returned with your Art Exhibit Application.

Newsletter and Publicity Deadlines


Fall Newsletter (September, October, and November Exhibits)
  • Exhibit bookings must be finalized by: May 1st
  • Opening receptions/lectures bookings must be finalized by: May 1st
  • Newsletter copy, photographs, press release information must be received by: June 1st
One copy of any publicity to be distributed independently by the artist must be submitted to the Art Exhibits Coordinator two months prior to the exhibit.


Winter Newsletter (December, January, and February Exhibits)
  • Exhibit bookings must be finalized by: August 1st
  • Opening receptions/lectures bookings must be finalized by: August 1st
  • Newsletter copy, photographs, press release information must be received by: September 1st
One copy of any publicity to be distributed independently by the artist must be submitted to the Art Exhibits Coordinator two months prior to the exhibit.


Spring Newsletter (March, April and May Exhibits)
  • Exhibit bookings must be finalized by: November 1st
  • Opening receptions/lectures bookings must be finalized by: November 1st
  • Newsletter copy, photographs, press release information must be received by: December 1st
One copy of any publicity to be distributed independently by the artist must be submitted to the Art Exhibits Coordinator two months prior to the exhibit.


Summer Newsletter (June, July and August Exhibits)

  • Exhibit bookings must be finalized by: February 1st
  • Opening receptions/lectures bookings must be finalized by: February 1st
  • Newsletter copy, photographs, press release information must be received by: March 1st
One copy of any publicity to be distributed independently by the artist must be submitted to the Art Exhibits Coordinator two months prior to the exhibit.
